Show Hosts & Crew Chiefs Checklist (English)

  • Code of Conduct and notification procedures: Remind volunteers and performers that the code of conduct applies to everyone participating at any Impro Neuf event. Also remind them about the notification procedures.
  • Check In: We recommend checking in with Slottsmester at least half an hour before the show (typically at 19:45). Confirm the final timing with the show plan or crew chief.
  • Inform about events: Check out our event overview before the show and inform the audience about upcoming events:

  • Stage Restrictions: Do NOT go behind/touch the white screen or tamper/play with/touch the black curtain on the stage in Lillesalen.
  • Fire Exits: Always inform the audience where the fire exits are located at the start of the show.
  • ID Collection: Retrieve your ID from Slottsmester immediately after the show.
  • Stay Informed: Check if your team is the crew chief by reviewing the show overview several weeks in advance.
  • Clean Up: Ensure all trash, cups, and belongings are cleared away after the show. Remind the audience to take their items.
  • Underage Audience: If someone wants to bring participants under 18 to any show, they must clarify in advance by contacting sikkerhet@neuf.no (no exceptions).
  • Audience Boost: Before shows, visit ongoing workshops and invite participants to attend for free.
  • Picture/video consent:
  • A kind reminder that you need to ask for consent before you publish photos/videos of people, even on closed Facebook groups. Posing in front of a camera is not actual consent to publishing.

Performers & Playing Teams Checklist (English)

  • Arrival: Aim to arrive at least half an hour before the show. If you’re running late, contact the crew chief right away.
  • Teamwork: Every team is expected to help with setup/preparations. If you need guidance or training, speak with the crew chief or join other shows to learn.
  • Team Commitment: If your team does not contribute during shows, your team won’t get to play in future shows.

Short Important Checklist

Important Reminder checklist for Show Hosts/Crew Chiefs:

  • Be punctual: If you check in 15 minutes or later with Slottsmester from the initial booking time (typically one hour before the show, usually at 19:00, or workshop start times), we risk losing the booked room.
  • Stage Restrictions: It is strictly prohibited to go behind/touch the white screen or to tamper/play with/touch the black curtain on the stage in Lillesalen.
  • ID Collection: Retrieve your ID from Slottsmester immediately after the show or workshop (immediately after you are done with the room).
  • Stay Informed: Ensure you know if your team is the crew chief by checking the show overview several weeks in advance.
  • Clean Up: After using the room, ensure all trash, cups, glasses, belongings, and clothes are cleared away.
  • Safety First: Always remind the audience of fire exits at the start of a show. If you notice any burnt smells, development of smoke or fires, evacuate everyone immediately. If unsure, contact Slottsmester for guidance. Slottsmester can also assist if someone is causing trouble.
  • Underage participants/audience: If anyone wants to bring persons under 18 years to our events, they must clarify directly with sikkerhet@neuf.no in advance.
  • Before shows: Go to ongoing workshops to invite participants to the shows for free.
  • No alcohol: from outside of Chateu Neuf allowed.

House Rules & Safety at Chateau Neuf

Here are the most important rules and safety procedures to remember:

Castle Master: Authority, Safety, and Responsibilities

The castle master is the highest authority in the building and is therefore responsible for the best possible protection of the safety of the building's users and guests, including compliance with the drinking rules and the expulsion of people who are drunk or otherwise unbehaved. It is also the castle master who coordinates any evacuation and communication/coordination with the fire department.

Here are some examples of types of incidents where the castle master can assist:

  • Obviously intoxicated or drunk people
  • Threats, aggression, physical violence or death threats
  • Sexual harassment or rape
  • Display of weapons, knives or drugs
  • Violation of Norwegian law
  • Serious health events or life-threatening situations
  • Fire
  • Guests who refuse to listen to the organizer

Timeline

Tentative timeline for performances with an assumed showtime starting at 8:15 PM. The crew chief can adjust the program as desired before the show.

  • Before 7:30 - Ask Slottsmester to open Lillesalen and storage. Make sure the room is in good condition. If the room is messy, tell Slottsmester, and clean up.
  • 7:30 PM - Lillesalen and backstage open for setup
  • 7:50 PM - Checkin and common briefing
  • 7:55 PM - Briefing Between Sound, Lighting, and Team Captains
  • 8:00 PM - Doors open and ticket sales at the entrance to the little hall
  • 8:15 PM - The show begins
  • 9:20 PM - Finished
  • Before 9:45 - Make sure the room is in good condition. If there are glasses left - take them to the bar. If there is trash, throw it in the bin. Forgotten items like phones, jackets and bags should be brought to Slottsmester.
  • Before 9:45 - Tell Slottsmester the room is empty. Get your ID back. Do not forget this step.

Crew Chief

The crew chief has the ultimate responsibility for the evening. This does not mean that the crew chief should do everything themselves, but they are responsible for ensuring that all tasks are delegated.

  • Provide Slottsmester with ID, open Lillesalen and storage.
  • Delegating tasks to sound and lighting, ticketing, MC, and rigging teams.
  • Conducting a briefing before the show starts (roles, sequence of the show).
  • Leading a debriefing after the show (sound, lighting, and other technical aspects, if any notes).
  • Ensuring that the doors close on time.
  • Establishing contact with the groups well in advance before the show.
  • Determining the order of the various groups that make up the show.
  • Tell Slottsmester when you are done with the room, retrieve your ID.

Checkin

The crew chief should hold a checkin at 7:50 PM to ensure that all volunteers and groups are present. If representatives from a group are missing, and this hasn't been reported in advance, the crew chief should try to contact the group captain.

Common Briefing

After the checkin, the crew chief holds a common briefing for the groups and volunteers. The crew chief first welcomes everyone and provides information about the evening's practical matters, emphasizing that no one is allowed to move behind, play with, or touch the backdrop on the stage due to a highly sensitive white screen behind it. It is also not allowed to go behind the wall behind the backdrop.

The crew chief then informs everyone about what will happen before the show, the sequence, and what will happen after the show. It should be emphasized that it is impolite to leave after performing one's set; it is courteous to stay in the audience to support the remaining groups.

The common briefing concludes with the crew chief ensuring that everyone understands their role responsibilities, and if not, providing relevant on-site training.

Setting Up Ticket Sales

Briefing Between Sound & Lighting and the Groups

The crew chief, MC, group captains, and sound & lighting teams have a quick discussion together to coordinate the following:

  • Use of music.
  • Cueing for lighting.
  • Other sound and lighting preferences.

After this discussion, the sound & lighting teams begin their setup.

Briefing Between Crew Chief, Team Captains, and MC

The crew chief, MC, and team captains discuss how the groups should be introduced.

MC (Master of Ceremonies)

  • The MC, responsible for leading the show, introduces themselves and briefly explains what improv theater is about.
  • Warm up the audience with 2-3 simple questions.
  • Introduce the evening's groups.
  • Announce intermission.
  • Announce after intermission.
  • Thank the audience for the show.
  • Be positive and don't take up too much space.
  • Provide information about the next show.
  • Provide information about open workshops.
  • Speak with the groups first to determine how they want to be introduced.
  • Thank all those involved (sound, lighting, ticket sales, etc.).

The MC should communicate with the groups before the show to agree on how they want to be introduced. Some groups may want to handle most of the introduction themselves, while others prefer the MC to introduce them. The MC can also assist in gathering words and inspiration for the show if the ensembles desire it.

When the show begins, the first thing the MC does is introduce themselves and welcome the audience to the evening's show. The MC then goes through the evening's program, introducing each group that will perform, providing information about the intermission, emergency exits, and other practical information, and creating a safe and positive atmosphere for the evening's performance. The MC introduces the first team and then exits the stage.

The MC returns to the stage just before intermission to inform the audience that there is now a 15-minute break and welcomes them back after the break.

After the last group has performed, the MC returns to the stage. The MC should then thank everyone involved in the production, preferably by name. This includes the groups, ticket sales, sound & lighting, crew chief, and any other individuals involved. Finally, the MC should promote Impro Neuf's upcoming shows and open workshops.

Sound outside of Lillesalen

The Castle master on duty can help fetch our sound laptop from Lillesalen. Ask Castle to give you and setup the small sound mixer (Liten lydmikser). The small sound mixer needs to be booked in advance by the booking responsible at Impro Neuf.

Lighting

 

The responsibilities of the lighting team may vary from show to show and group to group, but in all cases, lighting, along with sound, is responsible for setting the mood on stage. Lighting should not work against the groups but should ensure that they feel inspired to create good scenes.

No prior experience is required to operate lights during the show, and you can receive training from the crew chief on-site or in advance. If you are inexperienced, and even if you are experienced, it's a good idea to keep it simple. Remember, it's not a light show. Avoid too many lighting changes in the same scene, as it can be distracting for actors and the audience. However, if you see a change that fits the scene, feel free to try it. That's how you learn.

It is also the responsibility of the lighting team to manage time. Each group usually has 20 minutes to perform, and it's easy for lighting to keep track of time using the stopwatch on the lighting console. Lighting should provide a clear signal by flashing the stage lights when there are approximately 2 minutes left. This gives the groups time to find a conclusion to the scene. If the groups do not conclude within a reasonable time, it is the responsibility of the lighting team to fade out or cut the scene.

Some groups prefer for lighting to cut the scenes by fading to black, while others want to cut the scenes themselves without a fade. This should be agreed upon in advance.

Lights outside of Lillesalen

Ask the Castle master to assist setting up lights in the room/on the stage. For advanced/variable light control. This needs to be booked in advance by the booking responsible at Impro Neuf, and will depend on available human resources at Chateu Neuf.

Ticket Sales

  • Banners at the following locations:
    • Right outside the door.
    • At the top of the stairs from the 1st to the 2nd floor by the small hall.
    • At the bottom of the stairs from the 1st to the 2nd floor by the small hall.
    • In the foyer by the main entrance.
    • Announcements in the glass bar.
  • Ticket sales start at 8:00 PM, and admission begins at 8:00 PM.
